Enterprise Resource Planning
The Priyasakhi Mahila Sangh (PMS) has developed an Enterprise Resource Planning (ERP) system to streamline its operations and improve the efficiency of its business processes. Here's how the ERP system is useful in obtaining information about Self Help Groups (SHGSs) and SHGS members:
- Formation Date of SHGS: The ERP system can track and provide information about when each SHGS was formed, allowing the organization to monitor the growth and establishment of these groups over time.
- Number of Members in SHGS: The system can maintain records of the number of members in each SHGS, helping the organization keep track of group sizes and their evolution.
- Savings Linkage Information: The ERP system can record when each SHGS becomes savings linked, along with details about the number of SHGSs that have achieved savings linkage to date. This information is crucial for tracking the financial progress of SHGSs.
- Credit Linkage Information: Similarly, the system can track when SHGSs become credit linked and provide data on the number of SHGSs that have obtained credit linkage over time. This helps in assessing the availability of credit to SHGSs.
- Bank Account Details: The ERP system can store bank account details of all SHGS members, including account numbers, bank names, and branch information. This facilitates efficient financial transactions and record-keeping.
- Loan Records: Information about loans taken by SHGS members, including the loan amount, date of loan disbursement, and installment details, can be easily accessed through the ERP system.
- Overdue Payments: The system can flag and provide information about any overdue payments by SHGS members, enabling timely follow-up and risk management.
- Monthly Compulsory Savings: The ERP system can calculate and display the amount of monthly compulsory savings for each SHGS member.
- Monthly Savings: It can also provide information about the amount of savings made by each member on a monthly basis.
- Total Savings: The system can track and display the total savings accumulated by SHGS members to date, helping members monitor their financial progress.
- Loan Sanctions and Disbursements: Details of loan sanctions and disbursements, including the sanctioned amount and disbursement date, are available through the ERP system.
- Financial Position of SHGS: The ERP system can generate financial reports for SHGSs, including Trial Balances, Profit and Loss accounts, and Balance Sheets, providing insights into their financial health.
- Non-Financial Member Information: Information such as caste, address, contact numbers, details of ID proof, nominee information, age, and date of birth of SHGS members can be maintained in the ERP system.
- Account Closure: If a member's account is closed, the system can record the account closure date.
- Group Account Balances: It can calculate and display the combined account balance of SHGS groups.
- Insurance and Pension Information: Details of insurance policies or pension schemes for SHGS members can be stored and accessed through the ERP system.
Overall, the ERP system enhances data management and reporting capabilities, enabling PMS to make informed decisions, monitor the progress of SHGSs and their members, and provide better financial and non-financial services to the community. Additionally, it promotes transparency and accountability in the organization's activities and interactions with partner organizations and funders.
